Start Microsoft PowerPoint, then click the “Insert” tab. Click the “SmartArt” button on the ribbon.

Click the “Hierarchy” option on the left panel of the “Choose a SmartArt Graphic” window. Choose one of the options for the organizational chart and double-click it. The chart opens on the PowerPoint slide.

Start Microsoft Excel, and click the “File” tab, then click “Open.” Browse to the spreadsheet with the data to use for the organizational chart and double-click the name of the file. If you have two monitors, drag the Excel spreadsheet onto the second monitor.

Highlight the piece of information on the Excel chart, such as the name and phone number of the top person in your company. Press the “Ctrl” and “C” keys to copy.

Click back to the PowerPoint slide. Click into the top box or unit on the organizational chart, inside the “[Text]” box. Right-click and select “Paste.” The Excel spreadsheet data pastes into the PowerPoint organizational chart. Note that pasting a long string of Excel data may cause PowerPoint to reformat the text box and the chart, making it smaller.

Click back to Excel and copy the next piece of data to use on the PowerPoint organizational chart. Right-click into the next text box and paste it in. For a quicker way to paste, click the “Text Pane” button on the PowerPoint “SmartArt Tools” ribbon. This opens a box where you can type or paste all of the Excel data at once instead of clicking into each text box individually.

Continue to paste the Excel data until the chart is complete. Close the Excel spreadsheet without resaving it.

Click the “File” tab, and click “Save As.” Enter a name for the PowerPoint organizational chart, and click the “Save” button.

Step 1 Prepare Data
Prepare your data according to the following example. To gain an standard organization chart, your Excel worksheet should include the column of ReportsTo.
A reports to B means A is B's subordinate. In the IsAssistant column, 0 means not 1 means yes. Linda Stares is Michael, the CEO's assistant.
Step 2 Import Data
Firstly, you need to open a drawing page. Start Edraw. -> Choose Organizational Chart in the Available Templates list. -> Double click the icon of Organization Chart.
Secondly, import your data. Click Org Chart tab. -> In the Org Data group, click Import. -> Locate your data file and then select it. -> Click Next to continue.
Thirdly, set data field and display options. Display on shape determines what categories will be shown in each shape of the org chart. Edraw shows Name, Title and Department by default. You can choose to show more data by clicking the checkboxes. -> Click Finish to complete data import.
Step 3 Polish Organization Chart
Click Relayout to align and distribute the shapes evenly.
You can refine and polish the chart by clicking Display Options.
- Choose to show photo or not.
- Resize shapes by entering new width and height value.
- Choose different font colors for different categories.
- Move each category up or down .
- Apply the changes to selected shapes or pages.
To insert photos, select one shape, click Change Photo on Org Chart tab.
To change shape style, select one or several shapes, apply a quick style under Home tab.
Step 4 Save or Print Organization Chart
Save the organization chart under File tab. Choose Export & Send to convert the chart into other formats.
To print the chart, follow these simple steps. Click Print. -> Click More Print Setup...-> Choose Fit to. (Fit to 1 x 1 sheet means the chart will be printed on 1 paper.) -> Hit on OK.
